Terms of service

The terms that apply when you book a hotel day pass through Hotelday.

Draft: this page is still being reviewed and may change.

Draft of 14 October 2026

By booking a day pass through Hotelday, or by sending a booking request, you’re agreeing to the terms on this page. They’re written in plain language on purpose — if anything is unclear, email us before you book.

Hotelday is a marketplace

Hotelday lists day passes to pools, spas, beaches and other facilities at hotels across Greece, Cyprus, Italy, Austria, Germany, Bulgaria, Estonia, Latvia, Ireland, Spain, Portugal, Croatia, Slovenia, Monaco and Montenegro. The hotel you book provides the facility and looks after you on the day. Hotelday handles the listing and the booking, and also the payment when you pay online.

Two ways to book

There are two ways to book on Hotelday. Which one applies depends on the hotel, and the pass page or the checkout tells you before you book.

  • Pay online. You pay Hotelday in full when you book, and your booking is confirmed as soon as the payment goes through.
  • Pay at the hotel. You send a booking request and pay nothing. We check with the hotel, and if it confirms, you pay the hotel on the day of your visit.

A hotel can move from one way to the other over time. The terms that apply to your booking are the ones for the way you booked it, as shown at checkout and in your booking emails.

Bookings and payment

When you pay online, the price shown on a pass is the full price, including all fees. You pay online, in full, at the moment you book.

When you pay at the hotel, you pay nothing when you send your request, and you never pay Hotelday for that booking. If the hotel confirms, you pay the hotel directly on the day of your visit, at the price shown on the pass. That is the price the hotel has given us. If the hotel tells us a different price when we check, we tell you before we confirm your booking, so you can decide whether to go ahead or withdraw your request.

In both cases, food, drinks and any extras you order on site are charged by the hotel, unless your pass says they’re included.

Booking requests

When you pay at the hotel, you book by sending a request. A request is not a confirmed booking. We hold your place while we check with the hotel.

We aim to answer within 24 hours. We contact the hotel and email you its answer. If the hotel confirms, your booking is confirmed. If the hotel can’t host you, we tell you and nothing is charged. If we haven’t been able to confirm by 24 hours after your request, or by 20:00 (Athens time) on the day before your visit, whichever comes first, the request lapses, your place is released and we email you. You can also withdraw a request at any time.

You can send a request for a visit from tomorrow onwards, or from the day after tomorrow once it is 16:00 or later in Athens, so that we have time to reach the hotel. We limit how many open requests one guest can have at a time, and how many requests one connection can send in a short period, so that requests stay genuine.

Checking in

At the hotel, show your booking reference and a photo ID. The hotel will be expecting you.

Cancellations

Every pass shows a cancellation cutoff. You cancel from your booking confirmation page, or from /bookings.

If you paid online, cancel before the cutoff and you get a full refund. Once the cutoff has passed, the booking is non-refundable.

If you booked to pay at the hotel, you paid nothing to Hotelday, so there is nothing to refund. You can withdraw a request at any time, and cancel a confirmed booking until the cutoff shown on the pass. After the cutoff, contact us if your plans change and we’ll let the hotel know. Whether the hotel charges anything for a late cancellation or a no-show is up to the hotel and its own rules; Hotelday does not charge you.

If the hotel can’t host you

If you paid online and the hotel can’t host you on the date you booked, for example because it closes a facility or the date is no longer available, we cancel the booking, email you and refund the full amount you paid. The refund goes back to the card or other method you paid with, and usually appears within 5–10 business days. You’re welcome to book another date or another hotel.

If you booked to pay at the hotel and the hotel can’t host you, whether it says so when we check or after we have confirmed, we cancel the booking and email you. Nothing was charged, so nothing is refunded. You’re welcome to request another date or another hotel.

House rules and age limits

Each hotel sets its own house rules and any age limits for its facilities and passes. These are shown on the pass before you book, and the hotel may ask you to follow them when you arrive. When you pay at the hotel, the hotel’s own rules and conditions apply on the day, including any rules about payment, dress, age and behaviour, and the hotel may refuse entry to anyone who does not follow them.

Gift cards

Gift cards are not on sale yet; our gift cards page shows how they will work. Before they go on sale, we’ll publish here how long they are valid and when they can be refunded. A gift card can’t be used for a booking you pay for at the hotel, because Hotelday takes no payment for it.

Liability

We work to keep the hotels and passes on Hotelday accurate and to honour every confirmed booking you make with us. When you pay online, Hotelday is responsible for your booking and payment. When you pay at the hotel, Hotelday is responsible for passing your request on accurately, and for telling you the hotel’s answer and any change of price before we confirm; the hotel takes the payment on the day. If the hotel asks you for a different price on the day, contact us. In both cases, the hotel is responsible for running its own facilities safely on the day. Nothing on this page limits any liability that cannot be limited by law.

The legal detail

The company that runs Hotelday is being set up in Greece. Its name, address and registration number will be added here once it is registered. These terms are governed by Greek law. If you live in another country, you keep every protection that country’s consumer law gives you.
